Add Bates Numbers to PDF Files

Processing securely on your device, no data sent to any server
PDF

or drop files here

Give every page in a document set its own permanent identifier, numbered straight through from the first file to the last. The stamped PDFs and the range log are produced on your device, so sensitive material never touches a server.

How it works

Order, number, log.

Add the files in order

Drop a single PDF or an entire production. Arrange the files in the order they should be numbered; each one's page count is read as soon as it lands.

Set the label

Pick a prefix, digit count and starting number, then the corner and font. The range every file will receive is listed before a single page is stamped.

Save the production

One file returns as a numbered PDF. Several return as a ZIP holding each numbered PDF, named by its range, together with a CSV log of every range.

Use cases

Who relies on Bates numbers.

Whenever thousands of pages pass between parties, people need a way to name one page without ambiguity. A Bates number is that name.

Litigation productions

Every page handed to the other side gets its own number, so a witness, the judge and both legal teams can point to SMITH004512 and all mean the same sheet of paper.

E-discovery review sets

Review databases commonly index documents by their beginning and ending Bates numbers. Stamping the PDFs consistently keeps the images, the production log and the privilege log pointing at the same pages.

Insurance claims

Claimants and adjusters trade medical records, invoices and photos in bulk. A Bates reference lets a claim letter cite the exact page of a 400-page record instead of describing it.

Audits and investigations

Audit and compliance teams number evidence as it is gathered, so each finding in the report can cite a specific page, and a gap in the sequence shows at a glance that something is missing.

Regulatory filings

Submissions to regulators and agencies tend to be long and heavily cross-referenced. One continuous number across every exhibit gives reviewers a single way to find any page.

Arbitration hearing bundles

Bundles are easier to work from when every page carries a reference both sides agreed in advance, especially once documents are added late and the page order shifts.

Planning a numbering scheme that holds up.

One prefix per party or matter. The prefix tells anyone holding a page where it came from: ACME for documents produced by Acme, or a short matter code when one firm handles several cases. Keep it the same for the life of the matter.

A fixed digit count. Zero padding makes every label the same width, so ACME000099 sorts before ACME000100 in file lists and spreadsheets. Choose the width once, sized for the whole matter.

Never reuse a number, and never restart. Numbers run on from file to file across a production, and the next production picks up where the last one stopped. A withheld document is commonly replaced by a placeholder sheet carrying its numbers, so the sequence has no unexplained gap.

This describes common practice, not legal advice. A court's rules, a protective order or an agreed ESI protocol may set the exact format, so check those first. If scans need to be searchable for review, run them through OCR before numbering.

Worked example: prefix ACME, 6 digits

The first production starts at 1. Weeks later, a supplemental production starts at 49, the number shown as next unused after the first run.

Saved from the first run: a ZIP with three PDFs, such as ACME000013-ACME000042 emails-2025.pdf, plus bates-log.csv recording each range.

Common questions

Questions answered.

What is a Bates number?
It is a unique identifier stamped on every page of a document set, usually a short prefix followed by a zero-padded number such as ACME000123. The name comes from the Bates numbering machine, a mechanical hand stamper from the late 1800s that advanced by one with each impression. The label is added digitally now, but the rule is the same: one page, one number, never reused.
How are several files numbered?
In the order they appear in the list, continuing from one file to the next, so the second file starts one number after the last page of the first. Reorder files with the arrows before you run the tool; the ranges panel updates as you move them.
How do I continue numbering for a supplemental production?
Use the number after the last page you already produced as the start number, and keep the same prefix and digit count. The ranges panel shows the next unused number for the files you have loaded, and the CSV log records every range, so file that log alongside the production.
What is inside the ZIP?
One numbered PDF for each file you added, named with its Bates range followed by the original name (for example ACME000001-ACME000012 contract.pdf), and bates-log.csv. The log lists each file with its first number, last number, page count and saved name, ready to paste into a production letter or index. A single file comes back as a plain PDF instead.
How many digits should I use?
Enough for the largest number the whole matter could reach, not just this batch. Six digits covers 999,999 pages and is a common choice, while eight leaves room for very large productions. If a run would outgrow the width, the labels simply get longer, and the tool warns you before that happens.
Will the number cover text on the page?
The label is drawn on top of the page at the corner and distance you choose. Scans often have dark borders or content running to the edge, so the white box option keeps the label legible, at the cost of hiding whatever sits directly underneath it. Move the label further from the edge if it lands on text.
Which characters can a prefix contain?
Letters, digits and punctuation used in Western European languages. The built-in PDF fonts cannot draw scripts such as Hindi or Chinese, emoji or the ₹ symbol, so those print as a question mark, and the tool flags them as you type. Plain capital letters and digits are the usual choice anyway, because they survive every review platform and spreadsheet.
Are the numbers searchable, and what about signed PDFs or PDF/A?
Yes, each label is real text, so it can be searched and copied in any PDF reader. Adding anything to a digitally signed PDF breaks its signature check, which is one reason productions are usually numbered copies. The label also uses a standard font that is referenced rather than embedded, so a file that must pass PDF/A validation should be converted again after numbering.
Are my documents uploaded?
No. Each file is numbered by pdf-lib in a Web Worker in your browser, the ZIP is assembled locally with JSZip, and pdf.js reads page counts on your device. Privileged or personal material never leaves your computer.
